NORTH FLOW PILATES – ATTENDANCE POLICY

Please arrive 5–10 minutes early for your class or appointment. To maintain a safe and focused environment, the studio door will be locked at the start of class, and late entry will not be permitted. Thank you for respecting our space and the experience of others.

REFORMER CANCELLATION POLICY

Life happens — we understand! If you need to cancel your Reformer class, please do so at least 9 hours before the scheduled start time there is no charge.

  • Cancellations made less than 8 hours in advance are considered a Late Cancel.
  • If you cancel more than 8 hours there is no charge.
  • If you do not cancel and do not attend, it will be marked as a No Show.
  • This policy also applies if you’ve been added to a class from the waitlist.

FEES & CLASS

Weekly Memberships:

  • Late Cancel: $10 AUD fee
  • No Show: $10 AUD fee

Class Packs:

  • A Late Cancel or No Show will result in the loss of that class credit.

WAITLIST POLICY

 

When you join the waitlist, you may be automatically added to class if a spot becomes available — up to 1 hour before the class start time.

  • Once you’re added from the waitlist, our standard cancellation policy applies.
  • If you know you can’t attend anymore, please remove yourself from the waitlist as soon as possible to avoid being automatically added.
  • We recommend treating all waitlist bookings as confirmed, just in case a spot opens up.

If a space becomes available less than 60 minutes before the class, you won’t be automatically added — you’ll need to manually book in.

PREGNANCY POLICY

All clients who are pre- or postpartum are required to provide medical clearance from a registered practitioner prior to attending any class or appointment.

  • Prenatal clients up to 24 weeks may attend group reformer classes.

It is the client’s responsibility to inform North Flow Pilates via email at admin@northflowpilates.com, or in person, as soon as they become aware of their pregnancy.

Past 24 weeks pregnancy you can attend certain sessions please email admin@northflowpilates.com to let you know the 3 available days you can attend.

Past 24 week pregnancy if you wanting to do 1 on 1 Dominique is a senior Pilates Instructor with experience co-ordinating studios, mentoring teachers and designing pilates programs for studios including her on-line app, Templewell. She has a wealth of experience as a mover, progressing from a professional dance career into Pilates after she became a mother. She is the author of Empowering the Active Mama & has a blog on women’s wellness. As well as an expert in pilates, breathwork & postpartum core restore – she has studied neuroscience, positive psychology and wellness coaching.

GENERAL TERMS & CONDITIONS

North Flow Pilates will make every effort to deliver classes and services as scheduled. However, there may be times where a class is delayed, cancelled, or changed due to unforeseen circumstances.

  • Classes are held at our studio at 74 North st in Hadfield, VIC.
  • Please arrive 5–10 minutes prior to class. Late entry is not permitted once the class begins.
  • North Flow Pilates is not responsible for any missed classes due to lateness or booking issues.
  • Grip socks are compulsory for all participants.

Please note: Shower facilities are available for sauna session clients only and are not available for reformer classes.

We provide secure areas for belongings, but we are not liable for lost or stolen items.

CANCELLATION POLICY – REFORMER CLASSES

Cancellations must be made at least 8 hours prior to class via our online booking system.

  • Late Cancel (within 8 hours): $10 AUD fee for memberships.
  • No Show (non-attendance without cancellation): $10 AUD fee for memberships.
  • Clients on Class Packs will forfeit a class credit for Late Cancels or No Shows.
  • Cancellation fees may be applied up to 7 days after the missed class.

By booking a class, you are agreeing to this cancellation policy.

  • Once added, the regular cancellation policy applies.
  • Please remove yourself from the waitlist if you can no longer attend.
  • Treat waitlist bookings as confirmed.
  • If a spot opens within 60 minutes of class, you will need to manually book in.

 

POST-INJURY POLICY

If you’re returning to exercise after injury, you must present a medical clearance from a registered practitioner before joining any class.

INTRODUCTORY OFFER

  • Available only to new clients.
  • Valid for 14 days from your first visit.
  • No refunds, extensions, or transfers on unused sessions.

 

CLASS PACKS.

CLASS PACKS – VALIDITY & TERMS

North Flow Pilates offers two types of class packs:

  • Monthly Class Packs are valid for 30 days from the date of your first booked class.
  • Yearly Class Packs are valid for 365 days from the date of your first booked class.

Please note:

  • The validity period starts from your first booked session, not the date of purchase.
  • Unused classes cannot be extended, transferred, or refunded, including for reasons such as illness, injury, travel, or change of mind.

WEEKLY AUTO PAY MEMBERSHIPS

  • Weekly memberships have a minimum commitment of 4 months from the date of your first payment.
  • After the initial 4-month period, your membership will continue on a rolling basis until cancellation is requested via email with 14 days’ notice.
  • Memberships can be paused for a minimum of 1 week and a maximum of 6 weeks per calendar year. Suspension requests must be made via email.
  • Payments are debited weekly via MindBody.
  • It is the client’s responsibility to ensure sufficient funds are available for auto payments. Failed payments may result in additional fees.
  • Unlimited Membership is limited to one session per day

AGE LIMITS

  • Clients must be 16+ to attend group classes.
  • Clients under 18 must be accompanied by a parent or guardian.
  • If you are over 65 or have health conditions, you must provide a medical clearance.

Red Light Therapy Infrared Sauna – Found Space

Cancellations

A minimum of 24 hours’ notice is required to cancel or reschedule. 100% of the session

fee will be charged for late cancellations or no-shows. This also applies to bookings made

with gift vouchers.

Acknowledgement of Risks

I understand that use of the infrared sauna and red light therapy may involve exposure to

heat, light, and infrared radiation. Potential side effects include dehydration, dizziness,

burns, or temporary discomfort. I acknowledge that individuals with certain health

conditions should seek medical clearance before use.

Medical Clearance

I confirm that I am in good physical health or have obtained clearance from my GP. I will

discontinue use immediately if I feel unwell, dizzy, or uncomfortable.

Hydration Requirement

For my safety, I agree to drink a minimum of 1 litre of water before attending my sauna

session. I understand I should continue to hydrate after the session with water or

electrolytes.

On Arrival & Safety Guidelines

  •  Each sauna guest must bring and use a towel. Always sit on a towel—do not sit directly
  • on benches.
  • Food and drink (other than water) are not permitted inside.
  • Mobile phones are not permitted while the sauna is in use.
  • Anyone under the influence of alcohol or drugs is not permitted to use the infrared sauna.
  • Bring loose, comfortable clothing to change into after your session.
  • Please respect the next guest by leaving the sauna and bathroom tidy.
  • Avoid looking directly at the red light panels, as your eyes may become sensitive.

Age Limit

Sauna and red light therapy sessions are available for clients aged 18 to 60 years only.

Precautions / Contraindications

Medications

Prescription drugs may cause drowsiness, affect circulation, or alter heart rate and blood

pressure. Diuretics, barbiturates, and beta-blockers may impair the body’s natural ability toregulate heat. Anticholinergics (e.g., amitriptyline) may inhibit sweating and increase risk

of heat rash or heat stroke. Some over-the-counter drugs (e.g., antihistamines) can make

the body more prone to heat stroke.

Cardiovascular Issues, Obesity, or Diabetes

Those with obesity, heart disease, circulatory problems, low/high blood pressure, or

diabetes should seek medical advice. Heat stress increases cardiac output and heart rate

(up to 30 beats per minute for each degree rise in core temperature).

Alcohol & Drug Use

It is not advisable to attempt to “sweat out” a hangover. Alcohol reduces judgment and

increases heart rate, which combined with heat stress may lead to unconsciousness.

Anyone under the influence of alcohol or drugs must not use the sauna.

Chronic Conditions / Reduced Ability to Sweat

Conditions such as Multiple Sclerosis, central nervous system tumors, and diabetes with

neuropathy impair sweating. These conditions increase risk of overheating; medical

clearance is advised.

Elderly

The body’s ability to regulate core temperature decreases with age. If elderly, operate at a

maximum heat of 55°C and for no longer than 30 minutes.

Hemophiliacs / Individuals Prone to Bleeding

The use of infrared saunas should be avoided by anyone who is predisposed to bleeding.

Fever & Insensitivity to Heat

Individuals with insensitivity to heat or who have a fever should not use the sauna until the

fever subsides. If experiencing cold, flu, or COVID symptoms, please reschedule.

Pregnancy

Pregnant people should consult a healthcare practitioner before using an infrared sauna.

Written consent from a practitioner is required prior to booking.

Menstruation

Heating of the low back area during menstruation may temporarily increase menstrual

flow. This should not preclude sauna use.

Joint Injury

Recent (acute) joint injury should not be heated for the first 48 hours or until swollen

symptoms subside. Chronically hot and swollen joints may respond poorly to vigorous

heating.

Implants

Metal pins, rods, artificial joints, or surgical implants generally reflect infrared waves.Consult your physician prior to use.

Pacemakers & Electrical Implants

The use of infrared saunas is not recommended for individuals with pacemakers,

defibrillators, or other electrical implants. Consult your cardiologist before use.

Epilepsy / Seizure Disorders

Infrared sauna and red light exposure may increase seizure risk. Individuals with epilepsy

or seizure disorders should not use without explicit medical clearance.

Communicable Skin Diseases

Users with communicable skin diseases should refrain from using the sauna.

Heart Conditions

Sauna use is not recommended for those with unstable angina, recent myocardial

infarction (within 30 days), or severe aortic stenosis.

8. Session Terms

Sessions must be pre-booked and are non-transferable. Arrive on time; late arrivals may

result in reduced session length. Follow all staff instructions for session duration and

temperature settings.

Waiver of Liability

I acknowledge that sauna and red light therapy carry inherent risks. By reading this I

release North Flow Pilates, its owners, employees, and contractors from any liability for

injuries, illness, or damages arising from my participation, except where prohibited by law.
